Job Summary

• The Executive Assistant will provide high-level administrative support to senior executives, ensuring efficient and effective operations within the organization

The key responsibilities will include:

Administrative

• Scheduling and coordinating meetings, appointments, and event for executives
• Handling correspondence, emails and phone calls be behalf of executives
• Organizing and booking travel plans, accommodations and itineraries
• Preparing reports, presentations and other documents required by executives
• Arranging meetings, preparing agendas, taking minutes and following up on action items
• Handling sensitive information with discretion and maintaining confidentiality
• Assisting with special projects, research and tasks as needed by the executives
• Assists in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings
• Facilitates cross-divisional coordination

Board Support and Liaison

• Serves as the CEO's administrative liaison to LB's Board of Directors
• Assists Board members with travel arrangements, lodging and meal planning as needed
• Maintains discretion and confidentiality in relationships with all board members
• Adhere to compliance with applicable rules and regulations set in the corporate governance regarding board and board committee matters, including advance distribution of materials before meetings in electronic / paper format management team meetings and off-sites and all staff meetings
• Facilitates cross-divisional coordination
• Coordinate with both internal and external stakeholders
• Priorities matters of concern expeditiously, proactively and follow through on ad hoc project till completion while adhering to strict timelines

Qualification Required & Experience

• A minimum of a Bachelor's Degree in Social Sciences or a relevant field of study
• Minimum of 4 years relevant working experience supporting high level executives
• Proficient in use of Microsoft Office tools and social media platforms

Knowledge

• Project management
• Tools for scheduling meeting (Time management tools)
• MS Suite
