Job Vacancy For Supply Assistant By Unicef

Purpose of the job:
Under the supervision of the Supply and Procurement Manager undertakes procurement and supply activity mainly for offshore and direct ordering supply requisitions. Drafts and monitors customs clearance documentation for offshore procurement maintaining timely process of exemption papers and permits. Maintains all Institutional contracts for GCO, drafting of RFP, monitoring, maintaining chrono files and liaising with respective requisitioner for clarity.
Key Accountabilities, Duties & Tasks:
. Assists Programme sections in drafting and reviewing all offshore/Direct Order requisitions in VISION. Responsible for monitoring open requisitions, reviewing them prior to finalization in VISION. Stays abreast with global Long Term Arrangements and Direct order price lists. Liaise with Supply Division, LTA company on all issues to expedite action. Responsible for follow up with DO companies on any complaint or defective items/parts for replacement
. Responsible for reviewing and finalization of RFP for Institutional contracts and do R1 release. Checks on accuracy of documentation, Terms of Reference and ensures all original documents are file in Supply section. Undertakes times tabulation RFPs for approval by supervisor, prepares CRC where applicable. Ensure RFP documentations and actions are in compliance with IPSAS in VISION
. Generates Daily/Weekly/Quarterly status reports using Briefing Book and VISION reporting package on all Supply activity in VISION. Issues monthly reports and per project, as well as reports required by supply for follow-ups on procurement and shipments etc
. Assists the Supply & Procurement Manager in monitoring the status of all requisitions. Keeps abreast of local and international market development/trend specifically in IT sector and participates in periodical supplier visits as part of regular market survey
. Prepare exemption application letters and follow up with the MFA officials for processing of customs certificate. Monitor and co-ordinate implementation of supply part of offshore procurement following EPRP and ensure inventory status

Remuneration: Competitive and attractive
Qualification Required Or Experience
. Completion of secondary eduction, supplemented with University level course related to commercial contracting, negotiations. Procurement/purchasing related qualification would be an asset
. Five (5) years of working experience in general office administration with some practical experience in contract administration. Experience working in the UN or other international development organization, and field work experience is an asset
