Job Vacancy For Project Office Manager (Kumasi)



Job Summary:

An international NGO, partnering with Ghana Health Service, is seeking to fill a position that will provide leadership for a project office in Central Kumasi. He/She will be responsible for the management and supervision of project office activities focusing on the provision of reproductive health and family planning information at the community level. The person will be responsible for ensuring that the project office activities are implemented according to a specific model and in line with stated objectives and deliverables.

Key Responsibilities:

•  Participate in project office establishment & community entry process
•  Oversee and supervise all aspects of the project office
•  Responsible for operations including paying utility bills, recording inventory, ensuring storage of supplies and maintaining equipment
•  Organize accounting records in compliance with an established system, and prepare monthly accounting reports.
•  Oversee personnel management of 13 full-time staff and 40 volunteers including periodically evluating individual staff performance and assessing training needs to ensure the efficiency of the team
•  Identify capacity building and training needs to support the staff and provide on-th job training, coaching and supervision
•  Work with the Country Office, for recruitment and/or dismissed of Project Office staff members and community volunteers
•  Supervise the MIS and ensure accurate data capture, entry and analysis
•  Collaborate with the Country Office on the development and planning of all aspects of training programs and stakeholder meetings
•  Coordinate and monitor the supervision of community based fieldwork
•  Propose, develop and organize activities to motivate community volunteers
•  Ensure bi-weekly review and evaluation of the project office performance, identify and share lessons learnt with the country office
•  Prepare monthly work plans and activity reports
•  Advise the Country Office of challenges that hinder implementation and recommend solutions
•  Ensure cooperation between the healthcare facilities offering reproductive health services in the area and Project and visit referral healthcare facilities weekly.
•  Work closely with local community leaders and other stakeholders, fostering their active participation in supporting the project
•  When required, represent the organisation at external meetings and events
•  Perform additional duties as assigned by the Country Office

Qualification Required & Experience

•  Minimum Bachelor’s Degree or HND in Sociology, statistics, Public Health, Demography or related field
•  Minimum of three years experience with development projects/programs
•  Demonstrated ability to lead and supervise a large team
•  Knowledge of the reproductive health field is preferable
•  Demonstrated ability to process large amounts of information in an orderly and organised fashion
•  Strong initiative and ability to resolve problems with little supervision
•  Proven strategic thinking skills
•  Ability to manage multiple priorties simultaneously and meet deadlines
•  Excellent communications skills: written, interpersonal and presentational
•  Prior field experience in Ghana and knowledge of the country required
•  Fluency in at least one local language
