Main purpose of the job

•   This role covers a wide range of HR administration activities for our offices in Ghana and Nigeria.
•   The role primarily assists and supports the Sub Saharan HR team by providing HR technical and administrative support.
•   The incumbent will be responsible for the coordination of confidential and time sensitive material and will be required to have familiarity of the Company’s practices and procedures.
•   This role will be based in Accra, Ghana

Key responsibilities

Recruitment & Sign on

•   Put relevant HR notices on notice boards (vacancies, new hires, terminations, promotions, etc)
•   Handle all job adverts and receiving job applications
•   Arrange and co-ordinate interviews with line management and recruitment agencies/ candidates
•   Assist with requisite pre-employment checks
•   Prepare ‘new employee pack’ and assist new employees in the initial completion of engagement documentation
•   Administer letters of acceptance and regret emails.
•   Co-ordinate all practical needs for new employees e.g., office space, telephone, email, PC, parking, access cards etc
•   Assist HR Manager with preparing and conducting inductions
•   Conduct in-house assessments for new recruits.
•   Maintain databases for unsolicited CV’s
•   Screening of all CV’s

HR Administration

•   Tracking and updating expiration of probation periods
•   Updating and maintaining staff leave plans, & following up with managers to ensure staff go on leave and records are captured
•   Attend to general HR queries
•   Assist with the mandatory reports and returns (e.g. Headcount report, Movement reports, Annual Training Calendar & Reports).
•   Maintaining employee records/filing systems
•   Ensure that the organogram is updated on a monthly basis.
•   Ensure that the policies and procedures, birthdays & milestones, organogram, etc. are up to date.
•   Support the Regional and Sub Saharan HR teams with the implementation and enforcement of HR policies and procedure
•   Drawing of confirmation of employment letters
•   Assisting with maintenance and tracking of training calendar and attendance, as well as coordinating training logistics including; booking rooms/venues, catering, setting up equipment etc.
•   Coordinate exit processes – resignation acceptance letter, exit survey and check list.
•   Manage monthly requests from region for up-dates on staff birthdays and service awards.
•   Assisting the HR Manager with the implementation of employee engagement initiatives, and health and wellbeing programs. Take the lead on small projects.
•   Manage HR invoices and expenses, set-up PO’s and new vendor forms.
•   Assist HR team with the end of the year merit review process, including the development of all salary letters and tracking spreadsheets.
•   Development of all employee letters; offer letters, compensation summary, transfers, merit increases, promotions etc.
•   Assist with the co-ordination of general staff training with external suppliers
•   Maintain a database of training attended by staff
•   Assist with coordinating Internship & Learnership programme at Millward Brown.

Performance Management

•   Assist with the maintenance and updating of  job descriptions and categories
•   Assist on all enquiries related to the on-line performance management & appraisal process

Event Management

•   Lead event organizing and hosting, both on-site and off-site. These events include but not limited to Ghana and Nigeria annual end of year staff events.
•   Liaise with vendors, book venue/rooms; manage invitation/distribution lists, attendances and catering.
•   Liaise with finance to ensure budgets are adhered to.
•   Assist with organizing and managing corporate sporting and charity activities.

Staff Mobility Coordination

•   Manage visa and work permit applications, to be lodged through our designated migration agent.
•   Liaising regularly with our migration agent to stay abreast of relevant visa information.
•   Coordination of relocation logistics, including the booking of temporary accommodation, flights and airport transfers.
•   Maintenance of mobility information pack.

Qualification Required & Experience

•   A business degree – specialization in human resources management would be an added advantage
•   Minimum of three years in a HR Generalist Admin role in a multinational corporation
•   Working knowledge of either Ghana & Nigeria labour laws
•   Knowledge of HR best practices
