Job Vacancy For Personal Assistant to the MD (Tema)



Job Purpose:
To provide support and services to the MDs office ensuring that the office is adequately resourced and all administrative functions are professionally executed

Reporting Relationships: Reports to the Managing Director

Principal Accountabilities

•   Maintaining the Managing Director’s diary, maintaining regular updates of appointments, ensuring the preparation for meetings is smooth
•   Collate monthly team brief reports and coordinate team brief according to schedule
•   Establish an efficient filing system (electronically and physically) and ensure good record keeping in the MD’s office
•   Coordinate Annual General Meetings and quarterly board meetings as per schedule
•   Ensure all employees travelling on business have the necessary approvals and documents as per the travel policy
•   Provide support to employees travelling on business in acquiring visas and tickets as per the travel policy
•   Assist the MD in preparing reports and presentations.
•   Produce accurate and timely minutes where necessary.
•   Ensure all visitors are well accommodated as per the travel policy
•   Provide support to expatriates in acquiring resident permits

•   Heads of Department/ Line Managers
•   Airlines and Travel agents
•   Ghana Immigration Authority

Qualification Required & Experience

•   2-3 years working in a similar role
•   Exceptional communication and interpersonal skills
•   Ability to multi-task
•   Ability to work with minimum supervision
•   Assertive and able to challenge convention
•   IT savvy
•   Good network with airlines, travel agents and Ghana Immigration Service
