IJM is seeking a talented Director of Administration to join a multi-disciplinary team in the fight against force labour trafficking of children in Ghana. The Director of Administration shall be responsible for establishing and directing all of IJM Ghana’s business operations, office infrastructure, compliance with local laws, procurement, human resource management and administrative policies and protocols. The successful candidate will excel in human resource and organizational management. The candidate will also have a passion for justice and a desire to use his or her abilities in service of IJM Ghana’s mission. This position is based in Accra, Ghana and reports to the Field Office Director of IJM Ghana.
Responsibilities
• Manage, supervise and coordinate the activities of staff involved in administration, assuring the smooth and professional functioning of the office environment;
• Oversee the procurement and maintenance of office equipment and the daily operations of the office;
• Coordinate and manage the recruitment, hiring and onboarding process of candidates for open positions, including interviews of references;
• Oversee the implementation of HR policies, employee reviews, capacity development, staff care, and compensation issues.
• Maintain updated personnel files under the requirements of Ghanaian law and IJM policy and best practices;
• Monitor staff vacation leave, sick leave, and office holiday schedule;
• Monitor and ensure staff compliance with the personal care plans;
• Monitor contract procedures for temporary and new staff;
• Assist the Field Office Director with development, renewal and maintenance of Memoranda of Understanding with Ghanaian government;
• Ensure timely reporting on matters relevant to human resources and the business operations of the office;
• Oversee the recruitment and enrollment of staff to health care policies and benefits, as appropriate;
• Monitor control logs and maintenance of IJM vehicles;
• Coordinate the logistics of office events such as retreats, workshops, trainings, visits, etc.;
• Assist the interns and fellows in obtaining their residency visas; and
• Perform other administrative duties as directed by the Field Office Director.
Qualification Required & Experience
• Relevant 5 years of work experience in administration and human resource management;
• Master’s Degree in management or equivalent experience preferred;
• Knowledge of Microsoft Suite Software, Windows 2000, Windows XP and server client networks;
• Ability to manage, lead and motivate staff members;
• Excellent knowledge of written and spoken English; and
• Organized, meticulous attention to detail.
