The U.S. Embassy in Accra, Ghana is seeking an individual for the position of SECRETARY in the Facilities Maintenance Section of the Embassy.
POSITION NO: A51311
BASIC FUNCTION OF POSITION
Incumbent provides administrative and secretarial support to the Facilities Maintenance Office; this includes filing of documents, preparation of all cable, official mission-wide memoranda, memos, faxes, e-mails and other correspondence. Sorts and distributes mail to all offices and acts as receptionist, escorts visitors to the Facilities Maintenance Section; and schedules appointments for the Facility Manager and staff. S/he receives all incoming telephone, screens callers and dispatches calls to the Facilities Maintenance Office shops. Prepares work orders, initiates expendable supply requests, tracks and follow up on action items assigned to staff; and conducts research via the internet for product and service information in support of facilities maintenance office. Incumbent supervises the work control clerk and serves as Class B sub-cashier disbursing cash for material purchases and collects the receipts from the transaction; organizes the receipts and complete USG required documentation indicating the integrity of the entire petty cash process for the Financial Management Office. Prepares time and attendance for the section including taking roll call in the morning and performs any other duties that may be assigned.
Qualification Required & Experience

•  Completion of Secondary School and two years of Business/Administrative school is
required.
•  Three years of office administration with general accounting along with one to two years’
experience as a team/work leader or supervisor is required.
•  Level IV (Fluent) in English is required. High degree of proficiency in both the written
and spoken language, including the ability to translate. On occasion, the job holder may
need to act as an interpreter. Language proficiency will be tested.
•  A general knowledge of accounting practices and principles. Knowledge of office practices, proper preparation of file systems
customer service techniques and telephone etiquette.
•  Must be able to type 40 words per minute and computer knowledge in Microsoft office Word, Excel, Access, PowerPoint etc. is required. Typing and computer skills will be tested.
SELECTION PROCESS

•  Management will consider nepotism/conflict of interest, budget, and residency status in determining successful candidacy.
•  Current employees serving a probationary period are not eligible to apply.
•  Current Ordinarily Resident employees with an Overall Summary Rating of Needs Improvement or Unsatisfactory on their most recent Employee Performance Report are not eligible to apply.
•  Currently employed US Citizen EFMs who hold FMA appointment are ineligible to apply for advertised positions within the first 90 calendar days of their employment.
•  Currently employed NORs hired under a Personal Services Agreement (PSA) are ineligible to apply for advertised positions within the first 90 calendar days of their employment, unless currently hired into a position with a When Actually Employed (WAE) work schedule.
Starting Salary: GH¢28, 111 p.a.
