Role Purpose
Responsible for the maintenance , update and management of efficient and an accurate database and physical records on staff.
Key Responsibilities:
Strategy and Policy Development
Provide inputs in the development of the HR Strategy and Business Plan.
Human Resources information System
• Maintain and update an accurate and efficient database and physical records on staff.
• Establish an efficient records keeping and management system to ensure easy accessibility and retrieval of management information.
• Manage the data input and reporting requirements of HR management information system.
• Responsible for the efficient utilisation of the HR information system and availability of reliable, accurate and up-to-date information.
• Monitor to ensure that all HR records are safe from unauthorised intrusion.
Human Resources Planning
• Monitor and identify human resources requirements by examining requests on new posts/job functions.
• Periodically analyse the company’s human resources status and make recommendations for approval and action.
• Implement and monitor Human Resources Management policies and procedures in accordance with the rules and regulations of the company.
Recruitment, Selection and Placement
• Implement established policies to ensure the recruitment, selection and placement of the right calibre of employees for the company.
• Direct and monitor the placement, orientation and probationary period of new employees to ensure satisfaction and retention of newly engaged employees.
• Information and Reporting
• Provide statistical analysis and prepare monthly report on staff bio for management.
• Provide inputs in the preparation of monthly, quarterly and yearly progressive reports for the department
• Act as the central liaison point with employees and external suppliers in relation to HR computerised systems.
• Develop and produce management information data sets and reports relating to staff including establishment, turnover, vacancy rates, absence, accidents and incidents, equal opportunity and recruitment statistics.
• Analyse management information on a regular basis to identify trends and collectively inform and advise on processes to resolve HR issues including workforce planning, recruitment difficulties, diversity issues, absence rates, sickness trends and underachieving key performance indicators.
• Provide input in database set up, testing and benefit or payroll related data clean up in conjunction with the Performance and Reward Manager.
Qualification Required & Experience
• Bachelor’s degree in Social Sciences or related field plus post degree qualification in Human Resources Management with 7 years’ experience (with at least 3 years in management position).
Skills and Knowledge:
• Working knowledge of research and data analysis and an ability to interpret and present data in meaningful ways
• Working knowledge of national and international employment laws, regulations, conventions and best practices.
• Good negotiating and networking skills
• Ability to uphold the privacy of employee records/information.
• Knowledge of computerized Human Resources Information System.
• Good conflict management skills
• Excellent oral and written communication skills.
• Very good interpersonal skills
• Ability to develop and maintain strong professional relationships with internal and external stakeholders and work effectively with all categories of employees.
• Ability to meet deadlines.
• Ability to work in a fast paced and often pressured environment.
• Knowledge in the use of Microsoft Word, PowerPoint, Excel and other HR software and tools.
• Good analytical skills.
• Good managerial, coaching, and interpersonal skills in a "team" setting
