The Natural Resource Governance Institute (NRGI) helps people to realize the benefits of their countries’ endowments of oil, gas and minerals. We do this through technical advice, advocacy, applied research, policy analysis, and capacity development. We work with innovative agents of change within government ministries, civil society, the media, legislatures, the private sector, and international institutions to promote accountable and effective governance in the extractive industries.

Description

•   NRGI seeks an Administrative Office Assistant to support the administration of NRGI’s Regional Africa office in Accra, Ghana. S/he is responsible for ensuring smooth operations within the organization while upholding the institution’s mission and vision and adhering to its set standards. S/he will assist with day-to-day office management, as well as provide general administrative and event logistic support. S/he will report to the Africa Deputy Director based in Accra.

Responsibilities

•   The Administrative Office Assistant must be highly organized, capable of multi- tasking and be available to perform duties for multiple staff with direct services. This role requires excellent computer skills in order to run necessary reports, assist with monthly reports and data, and update forms and documents. Set up equipment for presentations. Assist with event day logistics and manage the receptionist desk. The Administrative Office Assistant will also assist staff with some minor tech support, preparation of documents and verification of information.

Specific Duties:

I. Programming

•   Assist with the logistics for programmatic events - training workshops, meetings and engagements and staff travels.

II. Human Resources and Financial Management

•   In conjunction with HR introduce new employees to the organizational policies, procedures and other regulations of the work place,
•   Assist with the coordination for enrollment of health and travel insurance for the staff
•   Maintain leave record for country office staff - Leave Roster and day spent.
•   Support financial management- verifying invoices charged on NRGI, proper coding of expenses, maintaining a mirror account for all NRGI expenses and handling petty cash and other financial duties when the need arises.

III. General Office and Facilities Administration

•   General administrative support- managing the front desk, including in-bound and out bound phone calls, greeting guests, corresponding to inquiry emails, order office supplies and handle issues with facilities/equipment.
•   Assist with scheduling travel and visas.
•   Assist with scheduling meetings and conference calls.
•   Taking notes and drafting reports at meetings.

Qualification Required & Experience

Education and Work Experience:

•   Bachelor’s degree or equivalent.
•   Minimum of one to three years of experience in a professional administrative management capacity – human resources, finance, and/or facilities management experience strongly preferred.
•   Strong fluency in Microsoft Word, Excel and PowerPoint, knowledge of Access or other data management software is a plus;
•   Excellent English writing and editing ability; additional languages – French– a plus;
•   Experience working and interacting with multi-disciplinary and multicultural personnel a plus;
•   Ability to effectively manage multiple projects in a fast-paced environment, and prioritize appropriately;
•   Excellent organizational skills and strong attention to detail;
•   Ability to work both independently and collaborate with others;
•   Integrity, professional discretion, and ability to handle confidential matters.

SALARY: Commensurate with experience.
