Job Purpose
Under the general supervision of the administrative officer, the incumbent is accountable for delivery of efficient and cost effective administrative support services, providing guidance for operations of administration support services. Ensures the office's administrative operations and services are in compliance with the organization's administrative policy, procedures, rules and regulations.
MAIN DUTIES AND RESPONSIBILITIES
A) Ensures the safekeeping and updates of the inventory of office property (expendable and non-expendable) in Lotus Notes Database, prepares reports, including cost analysis and recommends replacement/disposal of equipment and supplies. Reconciles physical inventory taken is complete, and identifies discrepancies for corrective action. Prepares annual reports for timely submission to HQ.
B) Undertakes all administrative and logistics arrangements for meetings, workshops, seminars by co-coordinating transportation including airport transfer, hotel accommodations, conference room reservations and audio-visual equipments, as required.
C) Review, analyze and raise supply requisitions for the procurements of office supplies and equipment locally and abroad, and arranges for control of distribution of supplies and installation of office equipment.
D) Review and process all administrative payment(contract, supplier, vendor, ancillary staff, telephone/mobile invoices etc.).
E) Verifies travel claims against authorized travel, with regard to actual routing and duration of stay. Review and process travel claims for local and international travel.
F) Review all requests for travel, request price quotations from travel agent, determines applicable class of travel, calculates number of days in travel status and upon approval, authorizes travel agent to issue tickets.
MINIMUM REQUIREMENTS
Education:-
Diploma in management, administration finance or any other relevant field of discipline. University degree is an asset.
Work Experience:-
Three years of progressively responsible administrative management work experience.
Language Proficiency:-
Fluency in English require. Another UN language is an asset.
