Job Purpose
Under the general supervision of the Head of Office, the incumbent is accountable for delivery of secretarial functions.
MAIN DUTIES AND RESPONSIBILITIES
A) Arranges appointments and maintains supervisor's calendar, receives high-ranking visitors, places and screens telephone calls and answers queries with discretion.
B) Prepares briefing materials for supervisor for use on official trips or special meetings.
C) In charge of protocol matters which includes, arranging meetings with high-ranking officials, and arranges officials receptions given by the head of office.
D) Participates in the organization and preparation of staff meetings or special meetings and take minutes and or notes.
E) Prepare informal translations and may act as interpreter.
F) Select and make pertinent abstract, and undertakes searches for information
G) Draft correspondences and ensure follow-ups.
H) Take dictations using shorthand on variety of subject matters and transcribes, ensuring that spellings, punctuations and format are correct. Types correspondence, documents and report, etc, some of which are highly confidential.
I) Maintains policy, confidential and general management of files.
J) Keeps list of names, addresses and telephone numbers of government officials and members of the diplomatic corps.
L) Makes travel arrangement for the supervisor, and perform liaison duties with other units.
M) Perform other duties, as required.
MINIMUM REQUIREMENTS
Education:-
Diploma in management, administration, finance or any other relevant field of discipline. University degree is an asset.
Work Experience:-
Three years of progressively responsible secretarial or administrative work.
Language Proficiency:-
Fluency in English require. Another UN language is an asset.
