Job Description

The Planned Parenthood Association of Ghana (PPAG), an NGO and a member of the International Planned Parenthood Federation (IPPF), and a leading provider of Sexual and Reproductive Health (SRH) information and services, hereby invites result – oriented and committed persons to apply for the following vacant position to be filled in the Association. PPAG believes in Child and vulnerable adults’ protection policy.

Purpose of the position:

•   To provide efficient administrative and secretarial support to the Executive Director and ensure that all activities and job schedules relating to the ED’s unit is timely and consciously carried out.

Key Responsibilities Includes:

•   Provide general administrative and secretarial support relating to the ED’s unit and coordinate affairs effectively
•   Act as a link between Management and the Executive Director
•   Provide protocol assistance to all visitors and support them in the purpose of their visit
•   Assist in developing and promoting external relations with donors and key stakeholders as well as articulating the vision and mission of PPAG
•   Coordinate the review, planning, implementation and evaluation of programmes with functional directors and other stakeholders
•   Coordinate the development and maintenance of internal communication systems to ensure that volunteers and staff are aware of the prevailing policies of the Association’s vison, mission and objectives/activities
•   Coordinate and facilitate Volunteers and Management activities at the Executive Director’s desk
•   Enhance partnership collaboration by assisting volunteer activities
•   Organize and facilitate Management, Directors and Council meetings/activities
•   Ensure that all out-going correspondence are sent on schedule
•   Ensure that in-coming correspondence that needs ED’s attention get to him/her within twenty (24) hours
•   Plan and organize management meetings and other forms of meetings
•   Sit in management meetings and other forms of meetings, take minutes and prepare timely and accurate reports concerning those meetings for effective decision making

Qualification Required & Experience

•   A first degree in Executive Secretary-ship or Management Studies or Administration OR any relevant related field from a recognized tertiary institution
•   A minimum of three (3) years working experience in a similar position.
•   A Master’s degree will be an added advantage.

•   Excellent managerial/ analytical skills and good knowledge in computer skills

•   Excellent report writing and communication skills
•   Must be presentable, serviceable and dutiful

•   Have the ability to assist people and coordinate affairs easily and effectively
•   Be highly skilled in the use of the computer
•   Have good organizational and planning skills
•   Must be able to work for long hours and under pressure
•   A knowledge in current SRH and population issues will be an added advantage
•   Must be able to maintain confidentiality
