Job Vacancy For Executive Assistant to the CEO
Accra Hearts of Oak S.C. (“Hearts”) is Ghana's oldest and most decorated professional football club in continuous existence, established 11th November 1911. Based in the Capital city of Accra along the Atlantic coastline, Hearts competes in the 16-team Ghana Premier League. In its storied history the Club has won 20 Ghana Premier League titles, 10 FA Cups and the CAF (African continent) Champions League, Super Cup and Confederation Cup. The Club plays its matches in the Accra Sports Stadium which holds nearly 40,000 spectators, and is affectionately known as the PHOBIA, for the fear it inspires in its opponents.
In 2018, Hearts will embark on one of its most ambitious projects in Club history with the development of the Pobiman complex. This facility, scheduled to be completed in July of this year, will be the official training center and youth academy for the Club. The facility will consist of state-of-the-art playing fields, classrooms, library, residential halls, dining facilities, health and wellness offices, a swimming pool, game room and film room. It will provide training and educational opportunities for all three official teams of the Club (First Team, Auroras and Royal Oaks) as well as talented “cub” players from around the country.
Job Description
POSITION: Executive Assistant to the Chief Executive Officer

POSITION OVERVIEW
The ideal candidate to the Executive Assistant to the CEO is first and foremost a dedicated problem solver with deep personal integrity and a strong work ethic. He/she is highly organized, detail oriented, and a team player who works well under deadlines. We are looking for the best possible candidate who meets the requirements, however, all things being equal, preferable consideration will be given to any true Phobians who apply (you know who you are!).
This is not your usual EA job. It will involve long hours, weekend work and some travel so the EA must be ready, willing and able to dedicate the hours necessary to do the job well. Specific duties will include:
• Ensure the efficient running of the Club’s Secretariat and support of the CEO + executive staff
• Be the first point of contact (i.e. gatekeeper) for the CEO and key staff
• Organizing the calendar of the CEO and managing the inflow of appointments to the office.
• Efficiently booking of and managing travel.
• Planning meetings and events
• Handling internal and external correspondence
• Taking minutes of important meetings and distributing thereafter
• Managing relationships with key stakeholders (Board, Supporters, Media, FA)
• Office management tasks
• Records management
• Presentation development
• Handling personal duties of the CEO (for example, buying gifts, picking up laundry, etc.)
Qualification Required & Experience
• First and foremost, the EA must be very comfortable operating in an increasingly digital world. You have demonstrated experience using pc/mobile devices and the associated productivity tools.
• University degree or relevant work experience in a high level administrative role
• Highly organized, detail oriented and proactive
• Sound judgment rooted in the best interests of the company and its CEO
• Excellent communications and relationship skills
• Sound judgment
• Perfect English language skills both verbally and in writing. Other languages, particularly French and Spanish a plus.
• Has worked as a trusted and confidential employee assigned to a high level principal.
• A passion for the sport and lifestyle of football is a plus, however, at a minimum the candidate must be conversant in the genre and willing to immerse themselves in it.

• Performance will be measured on an annual basis, formally, with quarterly check-ins to ensure progress toward agreed upon objectives.
Reporting Relationships
• This position will report directly to the CEO. To begin, it will not have any direct reports.
