Description Of Job
Under the general direction of the Office Administrator, the Administrative Assistant will perform assigned tasks in the Country Office and also receive and host visitors of the Country Office.
In this capacity the incumbent will maintain petty cash books of accounts and make daily entries into the accounting software for country office expenses and work closely with the Office Administrator and the Finance Manager to ensure that all functions in the country office get appropriate level of administrative support.
This post also requires frequent interactions with internal and external customers, coordination of meetings, events and contacts.
Qualification Required & Experience
Requirements /Qualifications:
• Relevant diploma in Office/Business Administration or equivalent
• A minimum of 2-year experience in an administrative position
• Knowledge of non-government organization sector is an asset
• Experience with record keeping, budgeting, purchasing, inventory control
• Demonstrated team-orientation, customer service behaviour and attitude
Requirements /Qualifications:
• Strong organization and time management skills - able to organize own work and office procedures
• Experience coordinating meetings including setup of meeting rooms, equipment and other logistics and taking detailed minutes
• Ability to speak English and the local country languages fluently
• Good verbal and written communication and interpersonal skills; business writing skills and the ability to draft correspondence and reports
• Demonstrated flexibility with changing demands and priorities of the job; a multi-tasker
• Demonstrated initiative; takes prompt action to accomplish objectives, takes action to achieve goals beyond what is required and is proactive
• Sensitivity in handling/discerning confidential matters; demonstrates diplomacy and tact
• Tenacious with deadlines; result-oriented. Demonstrates willingness and ability to accept and apply new methods and techniques to performance of work
• Computer skills –MS Office (Word, Outlook, Excel and PowerPoint is an asset) and Internet user skills
