Job Summary
Position Summary:
The Administrative Assistant position will perform/provide a wide variety of on-going administrative support to the project team.
This person will be responsible for assisting in day-to-day practices as requested by the Technical Manager, including typing, filing and handling of correspondence in relation to procurement, inventory, personnel and logistics support.
• Set up and maintain filing systems for all administrative documents as per RTI's filing system
• Maintain Personnel Files and update records as required
• Receive requests from Staff for goods and/or services and prepare the requisition for approval as per RTI procedures
• Once approved, assist in obtaining quotations, from vendors
• Prepare Purchase Orders in accordance with RTI procedures & USAID regulations and forward the PO to the Technical Manager
• Co-ordinate travel arrangements as required for RTI staff, including flight reservations, accommodations, visas and transport
• Oversee the refurbishment of office (including, but not limited to, purchase of equipment, computer, scanner, photocopier, furniture, Internet hook-up, re-wire of the office, and office painting)
• Arrange for servicing of optical scanners
• Help to co-ordinate logistical arrangements to ensure activities are carried out as designed, efficiently, on-time and according to project guidelines
• Help to arrange workshops, training sessions, and dissemination venues
• Arrange meetings for the Technical Manager and visiting RTI staff as needed
• Arrange for printing of training materials, test booklets, answer sheets, and other documents necessary to carry out planned activities
• Review all payment requests (vouchers, disbursement, receipt and general journal vouchers) for expenditures and ensure that expenses are allowable and allocable to the project
• Assist in maintaining all Office Equipment, Computers, Photocopiers and Telephone System
• Ensure that all RTI assets are safeguarded and used properly and maintain the inventory system of non-expendable and supplies according to RTI procedures
Qualification Required & Experience
Bachelor's degree and 1+ years relevant experience
Knowledge, Skills and Abilities:
• Knowledge of USAID regulations;
• Fully proficient in MS Office
• Superior integrity, work habits, and ability to meet deadlines;
• Hard-working and team player;
• Speaks proficient and fluent English and has strong skills in writing;
• Trainable and willing to learn
• Strong planning, organisation and problem-solving skills
• Ability to work hands-on, independently, and within team in difficult work environment
• Culturally astute, respectful and tolerant
