Job Vacancy For Administrative Assistant / Procurement
Job objective
Procurement
• Conduct market research for the selection of suppliers/competitors
• Conduct price/cost/reasonability analyses
• Plan and implement correct procurement strategies
• Prepare tender specifications and other documents to procure goods and/or services
• Launch invitation to tenders
• Daily Follow-up on procurement procedures until signature of contract.
• Participate in the evaluation of tenders and prepare contracts and/or purchase orders
• Liaise with accounting cell to ensure budget is available for each tendering procedure before contracting
• Monitor maintenance intervals for technical installations, including security installations
• Ensure documentation for each tender procedure is saved in both hard and soft copies for audit purposes.
• Create a suppliers' database
• Maintain professional relations with suppliers
Main Tasks
Contract Management
• Monitor and manage contracts (initiation, execution, termination)
• Register contracts in appropriate IT systems and databases
• Monitor suppliers performances
Administrative & Logistical Support
• Draft internal Administrative notes and others
• Monitor the assets and encode new acquisitions in the appropriate IT-Tool
• Track all assets for yearly inventory exercise
• Any other administrative tasks requested by the Head of Administration

• Very good negotiation and analytical skills

• Ability to communicate clearly orally and in writing
• Very good planning, coordination and reporting capabilities
• Very good organization skills and ability to work to deadlines

• Ability to work under pressure
Qualification Required & Experience
• Bachelor's degree in Supply Chain Management, Business Administration, finance or related field
• Knowledge in accounting
Professional experience
• Minimum 5 years professional experience in performing above mentioned tasks
• Member of a procurement professional body (CIPS)
Knowledge of languages
• Excellent command of English (written and spoken) plus one local language
Knowledge of IT tools
• Advanced proven knowledge of Microsoft Office Suite
• Advance knowledge in Excel usage
