Job Vacancy For Administrative Assistant (Tema)
A reputable company is advertising the following vacant position:- Administrative Assistant
Job Purpose:
• To provide administrative and clerical services in order to ensure effective and efficient operations
Key Responsibilities:
• Provides general administrative and clerical support including mailing, scanning and copying of correspondence to relevant persons
• Maintains electronic and hard copy filing system, arranges and compiles documents for meetings
• Answers telephone, takes messages and answers inquiries within assigned scope of responsibility
• Prepare documents (sometimes confidential) including correspondence, reports, draft, memos and emails
• Records minutes at various meetings, distributes and archives them accordingly
• Routinely orders stationery supplies needed by senior managers
• Manages the itinerary and calendar of Senior Managers
• Schedules and coordinates meetings, appointments for Senior Managers
• Co-ordinates and make travel and lodging arrangements for senior managers including recoupment of expenses, petty cash etc.
• Produces regular management reports as and when required on outstanding correspondence and follow up issues where required
• Provides hospitality services for the company's important visitors
• Provides additional operational and administrative support where necessary to the HR department
• Delivers any ad hoc duties requested by any senior management personnel
Qualification Required & Experience
• Must possess minimum Degree in Business Administration or related field
• Must possess at least five years hands on experience in similar role
• Must exhibit high level of professionalism and demonstrated ability to handle confidential information accordingly
• Must have strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
• Must have strong interpersonal skills and the ability to build relationships with stakeholders, including staff and clients
• Must possess excellent verbal and superior writing and report presentation skills
• Must have experience in working with computers and systems to perform a range of administrative tasks
• Must have advanced proficiency in MS Word, MS Excel, MS PowerPoint and related software
• Must have a strong sense of teamwork
• Age limit: Between 35 - 40 years
