Job Vacancy For Administrative Specialist

Project Brief:
• Since its establishment in 2019, the NIED Cluster has undergone significant development, resulting notably in the establishment of a Finance, Logistics, and Procurement (FLP) service unit aimed at optimizing operational efficiencies and supporting organizational functions. To this end, the Cluster offers specialized services encompassing procurement of goods and services as well as payments, financial controlling and logistics
Scope of Role:
• The Administrative Specialist will be responsible for providing support in ensuring that financial and administrative regulations are complied with.
Tasks:
• Ensure regular monitoring of the procurement mailbox for new tender submissions.
• Responsible for managing bid opening processes, including coordination with all relevant stakeholders, scheduling appointments with the bid opening team and documenting the bid opening process.
• Creates and organizes folders in the designated filing structure and ensure all documents are appropriately stored post-bid opening.
• Check for completeness of documents in the filing structure before releasing bids to the procurement team.
• Ensures cascading of information to the procurement team which can be shared at a point of the process (e.g. technical bids before financial bids).
• Ensure all tender documents are handled securely and stored to maintain confidentiality.
• Support the FLP service unit and projects in administering and maintaining the filing system according to GIZ procedures and
adherence to confidentiality.
Qualification Required & Experience
• BA/BSc Accounting, Finance, or similar areas.
• Minimum of 5 years’ work experience with a focus on finance and administration.
• Good working experience in audit compliant filing and related digital filing systems.
• Good working knowledge of ITC technologies (related software, phone, email, the internet) and computer applications (e.g. MS Office Suite)
• Strong command of the English language (both written and oral) is required.
• Proactive attitude towards personal growth and institutional changes.
• Good interpersonal, management and communication skills.
• Rendering result-oriented performance.
• Willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management
