Job Vacancy For Administrative Specialist (Platform & Administration Expert)
Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) is a public-benefit federal enterprise working in more than 100 countries worldwide. We work on behalf of the German Government and support public and private sector clients in a wide variety of areas, including economic development and employment, energy and environment, and peace and security. Our activities in Ghana cover three priority areas: Climate and Energy, Just Transition; Sustainable Economic Development, Training and Employment, and Peaceful and Inclusive Societies, which focuses on good governance.
Project Brief:
• “Employment promotion in the informal sector” (WIDU) - A regional project that contributes to improving the employment and income situation in Africa.
• Start-up entrepreneurs and micro-entrepreneurs are supported by improved access to finance, through the topping-up of diaspora transfer of funds, and adding capacity-building of entrepreneurial skills through local business coaching. The WIDU platform is a digital space where diaspora in Germany and further selected European countries can plan and organize their investment together. They use the platform also to apply for support from WIDU.
Scope of Role:
• The Platform and Administration Expert is the focal point for country level moderation of the platform.
• The Expert is additionally responsible for oversight of administrative and logistic activities and acts as primary interlink between the project team and the administrative teams of GIZ Country Office in Accra
Tasks:
1. Platform Moderation
• Ensure all country level Moderation tasks are carried out, including the approval of new projects and quality verification of reports submitted on the platform.
• Maintain and coordinate the feedback on bugs, features and other requests from the country team, Support misuse management and oversee archiving and filing of special cases.
• Oversee offline related tasks, such as email support and tech support to the coaches and coaching organizations.
• Provide training and coaching to new staff or external service providers as required.
2. Office management and administration
• Coordinate and organize local support staff, Provide guidance and support for event organization and logistics.
• Coordinate monthly administrative reporting to country office, Quality check reports and billing from service providers, particularly coaching organizations.
3. Other duties and additional tasks
• Provide ‘cover support’ for absent staff where needed both in Ghana and elsewhere.
• Resolve simple issues concerning IT software and hardware in office.
• Assist in and/or carry out other office activities and other tasks, as assigned.
Qualification Required & Experience
• B.Sc./BA in business administration, accounting, finance, or similar area.
Professional Experience:
• At least 3 years of work experience with a with a focus on administration and/ or digital platforms.
Other knowledge and additional competences:
• Strong command of English language (both written and oral) is required; knowledge of German and French language is an asset.
• Highly organized with established methods for time management and task prioritization.
• Demonstrable skills in information technology and associated programs and tools.
• Prior work/professional experience with GIZ would be an advantage.
• Experience working remotely would be an added advantage.
• Ability to take responsibility and work on own initiative.
• Willingness to strengthen skills and competencies as required by the tasks.
