Job Vacancy For Bilingual Secretary At Kin-Tec Ghana Ltd
Our Client an internationally integrated Oil and Gas Company seeks to add a new member to its team as a Bilingual Secretary. The incumbent will provide personal administrative support to management and the company through conducting and organizing administrative duties and activities.
Responsibilities:
• Enhance Effectiveness by providing information Management Support
• Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
• Organize work by reading and routing correspondence; collecting information; initiating telecommunications.
• Maintain department schedule by maintaining calendars for department personnel; arranging meetings, conferences, teleconferences, and travel.
• Complete requests by greeting customers, in person or on the telephone; answering or referring inquiries while maintaining a good sense of social decorum at all times.
• Maintain customer confidence and protects operations by keeping information confidential.
• Prepare reports by collecting information.
• Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
• Type documentation in English and Russian, including correspondence, reports, technical papers, statistical or tabular material using word processing, spreadsheet and presentation type of software.
• Work with complex legal documents; compose memoranda; draft cover letters. Proofread all for formatting, spelling, grammar.
• Keep equipment operational by following manufacturer instructions and established procedures.
• Secure information by completing database backups.
• Provide historical reference by utilizing filing and retrieval systems.
• Make sound decisions in a manner consistent with the essential job functions.
• Prepare correspondence and other documentation for supervisor’s signature in both English and Russian and translate from one language into the other as required.
• Contribute to team effort by accomplishing related results as needed.

• Any other responsibilities assigned.
Qualification Required & Experience
• Bachelor’s degree in Secretaryship
• A minimum of 5 to 10 years of relevant experience.
• Must possess excellent written and verbal English skills.
• Working knowledge of Russian is a great advantage
• Ability to maintain highly confidential material
• Must have working knowledge of Outlook and Microsoft office suite
• Ability to work on multiple projects
• Ability to interface with senior level executives and clients
• Must have good sense of social decorum
• Must be able to manage information, elicit cooperation and communicate both effectively and efficiently
• Must be result oriented and show personal commitment
