Job Vacancy For Customer Service Focal Point At World Food Programme



Post Grade: G5

Under the direct supervision of the UNHRD Manager assistant, the incumbent will be required to undertake the following duties:

Major Duties and Responsibilities:

•   Customer Service Focal Point-Accra: Ensures that adequate, accurate and timely responses are provided to UNHRD Partners through UNHRD Customer Service inbox.
•   Responsible for creation of UNHRD Pro forma invoice to UNHRD Partners and circulating same to Partners.
•   Responsible for identifying, transporters/clearing and forwarding agents.
•   Supervisingof RFQpreparation.
•   Supervising preparation/Presentation of LTC minutes.
•   Responsible for all CS related Prs.
•   Liaise with ground handling companies to ensure that all necessary preparations required before and during airlifts are completed.
•   Ensures that all provisional shipping documents are prepared and sent to consignees as pre alerts and all final packing lists, AWBs, BLs and WBs are sent to consignees.
•   Prepare Service Confirmation Form and forward same to finance Brindisi.
•   Liaise with partners and provide status of all expired items.
•   Prepare all procedures and necessary steps for commodity disposal (expired items) after receiving approval from Partners.
•   Prepare loading plans and ensure that WFP standard waybills are duly filled
•   Deliver goods on request against official and approved documentation;
•   Perform other related duties as assigned.

Qualification Required & Experience

•   Secondary school education/MSLC
•   At least five  (5)  years  of  professional  experience   in  one or  more  of  the transportation  and  ancillary  sectors:   port  operations,  shipping,  clearing  and forwarding,  air  operations,  large  scale  road/rail  transport  and  distribution management gained from a reputable organization as Customers service Officer
•   Experience in UN/Humanitarian agencies process is an advantage
•   Good knowledge and skills in computer usage

Language:

•   Proficiency in written and spoken English,
•   Proficiency in written and  spoken French would be an advantage.
