Key Responsibilities
• Anticipate needs, think critically and offer solutions to challenges/problems
• Carry out informed research on the above-mentioned areas
• Successfully multitask on assigned projects without direct supervision
• Organise administrative activities directly related to the above
• Facilitate personal correspondence and schedules of our client
• Communicate and handle incoming and outgoing electronic communication on behalf of our client
• Assist our client with the preparation and presentation materials on the above-mentioned areas
• Review and summarise varied reports and documents, prepare background documents and outgoing mail as necessary
• Prioritise and manage multiple projects simultaneously and follow through on issues in a timely and effective manner
• Arrange travel schedule and reservations for our client and stakeholders as required
• Open, sort and distribute incoming correspondence including faxes and e-mail
• Prepare responses to correspondence containing routine enquiries
• Record, transcribe and distribute minutes of meetings
• Ad hoc duties that may be assigned occasionally or as and when the need arises
Qualification Required & Experience
• A minimum of a Bachelor's degree in social sciences or related discipline
• At least three (3) years relevant and progressive hands-on experience in a dynamic and professional environment
Knowledge, Skills and Competencies
• The position requires a high level of integrity, as the candidate will be exposed to confidential and sensitive information
• The ability to be extremely efficient, highly organised and resourceful and must be flexible and function well in a fast paced environment
• Must be technologically versatile and savvy in the use of a cellular phone in the dispensation of his/her duties. Working knowledge of administrative procedures and systems such as managing files and records, stenography and transcription and other office procedures and terminology
• Good knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition and grammer in addition to communicating effectively (oral and written) in French
• Ability to maintain a professional behaviour in all situations
• Ability to withhold confidential information and communicate with tact
• Proficient computer skills and in-depth knowledge of relevant software such as Microsoft Office suite
• Great interpersonal and relationship building & nurturing skills
