Job Vacancy For Office Manager and PA to NMSI Country Manager & Projects Director At NMS Infrastructure Limited
NMS is contracted to deliver a $175m contract to provide 6 District Hospitals and supporting equipment and services in Ghana. This project has a 2.5 year delivery, construction and installation phase followed by 3 years of maintenance support phase.
As part of this project, a delivery team has been established in Ghana which now needs an office manager and PA to support the Ghanaian operations and Country Manager.
Responsibilities
Reporting to the Country Manager, you will provide comprehensive administration support to him and his team, as well as provide a PA service to him. You will also oversee the work of the Administration Assistant and office support staff.
Key duties will include:
• Handling all verbal and written enquiries from clients, suppliers and contacts
• Handling all verbal and written enquiries
• Liaising with the technical team as required
• Arranging global travel
• Diary Management, minuting meeting, managing correspondence
• Overseeing all day to day issues and management of the office
• Placing and processing orders
• Researching new suppliers when needed
• Inputting sales orders onto the system
• Ensuring that documentation is ISO 90001 compliant
• Overseeing all day to day health and safety issues (Fire alarms etc)
• Researching competitors
• Liaising with the UK project office
Travel
• Frequent travel in Ghana, accompanying Country Manager, and occasional travel to UK
Timing & Duration
• Timing – immediate. Candidate should be able to accept a contract of employment and deploy by 1st August 2012.
Engagement
• Full time employee contract, engaged locally through NMSI’s support partner, Genelec Support Services.
• Subject to confirmation of offer and reference check the candidate shall be issued with a contract of employment for a permanent post.
• The candidate will be required to undertake a probation period of 3 months during which the notice period will be 2 weeks.
• On successful completion of the probation, the notice period will be 12 weeks.
Salary & Package
• Salary – TBC subject to candidate’s skills and expertise.
• Package – Local non-expat package with healthcare cover and pension benefits
• Holiday Entitlement – 25 days plus Ghanaian national holidays
• Car – N/A.
• Equipment – laptop and mobile telephone will be provided.
Qualification Required & Experience
To be considered, you should be a seasoned PA/ Executive Assistant with extensive experience of working in fast paced, project environments.
You will need excellent communication and IT skills, be diplomatic and have a good sense of humour.
Furthermore, you will be willing and able to undertake occasional travel throughout Ghana and to the UK.

Key Candidate Characteristics
• Have experience as a PA, ideally to a senior member of staff and/or General Manager.
• Have experience of managing an office and staff management
• Have proven experience of managing budgets and cash.
• Have a broad enough commercial background to understand the business issues beyond just the daily routines and take an accordingly broad perspective.
• Be professionally competent in business administration and personable enough to gain the respect and confidence of not only the company and staff but also the customers, suppliers and Government officials and partners with whom the company has business interaction.
• Be a sound communicator to ensure a seamless information links;
1) With the company in UK
2) With the Ghanaian and British staff
3) With subcontractors
4) With the customers, partners and Government officials in Ghana
• Be a conscientious self-starter and problem solver.
• Have immense determination and stamina but also patience.
• Be genuinely interested in people and able to inspire a consistent desire to raise standards and deliver results.
• Display the leadership and integrity required to promote company agreed strategy as though it is his own.
• Be bold enough to make measured initiatives and capable enough to own and deliver them.
• Have a disposition that constantly seeks to liaise with customers, consultants, partners and other team members and draw experience from any centres of knowledge or excellence and draw lessons from mistakes in order to maximise his effectiveness and that of others.
• Be comfortable, polite but forthright to succeed.
Skills and Experience:
• Be astute, commercially aware and have a knowledge of business administration.
• Be experienced in handling and managing the effectiveness of a small foreign team, including:
1) Corporate Affairs Manager
2) Assistant Office Administrator
3) Domestic staff x 2
4) Gardener
5) Drivers x 4
6) Day and Night Security staff x 2
• Be literate in the use of Microsoft Office and many forms of communications.
• Fluent in English. Other local or international languages would be ideal – especially Afrikaans and French.
