Job Vacancy For Office Administrator (Tema)
A young and reputable multinational Logistics Company located in Tema is seeking highly motivated and qualified individuals.
We are currently looking for the services of a lady Office Administrator. The successful applicant will be responsible for the overall Secretarial and Administrative function of the company. The job functions for this position include but are not limited to the following.
Duties and Responsibilities
• Attending to all phone calls and visitors.
• Provide secretarial services in a highly confidential and timely manner.
• Managing all company correspondence including company’s incoming and outgoing mail.
• Maintain confidential files and record entries.
• Retrieve information as and when needed.
• Clerical duties such as printing, scanning and photocopying of documents.
• Providing correspondence and able assistance to MD.
• Managing diary of MD and scheduling meetings with clients.
• Attending meetings, taking minutes and keeping notes.
• Liaising with staff in other units and also with external contacts.
• Ordering and maintaining stationery, equipment and office supplies.
• Liaising with colleagues and external contacts to book travel and accommodation.
Skills
• Good interpersonal and communication skills.
• Very hardworking and committed.
• Smart and organised.
• Must have a strong sense of purpose and responsibility.
• Able to multi-task efficiently and work well under pressure
• Adept in use of Microsoft Office Applications (Word, Outlook, PowerPoint, Excel, Access, etc.)
• High proficiency in written and spoken English is required; fluency in French will be an advantage.
Qualification Required & Experience
• HND/Diploma in Office Management or related field.
• Experience with senior level management staff is preferred.
• Minimum of 3-5 years relevant post qualification experience will be an advantage.
• Sound knowledge of secretarial and administrative practices and protocols.
