Job Vacancy For Personal Assistant to the Executive Director of Retail

Job Summary

•   Providing an effective level of Secretarial support to the Executive Director Retail (EDR), so enabling him to carry out his task with the optimum levels of efficiency and functionality in the use of time and energy

Key Accountabilities

Communication

Organising efficient and effective internal and external communication with respect to taking messages and planning / making appointments and passing this information on to interested parties.

•   Ensuring that the instructions and wishes of EDR is conveyed to company officers and departments
•   Receiving and screening incoming telephone calls for the EDR and deciding on whether to connect this caller depending on the nature, objective and request of the call
•   Answering and dealing with routine questions
•   Planning, booking, coordinating and monitoring appointments of EDR and ensuring these are observed
•   Making hotel and travel reservations and ensuring optimum planning of business appointments and travel itineraries
•   Building and maintaining contacts with internal and external parties (client management)
•   Representing the department in order to bring about a positive image on the part of one's own department inside and outside the organisation

Coordination of information

Effective reporting and management of business information, instructions and wishes - often of a confidential and/or sensitive nature - when conveyed by the EDR to an interested party, internally or externally, or vice versa

•   Ensuring regular coordination with EDR with respect to current or ad hoc matters
•   Indepedently following up matters coordinated with the EDR
•   Ensuring relevant information is provided to and received from the EDR or external representatives

Correspondence

Effective reporting and management of business information, business appointments and business agreements.

•   Selecting the internal and external post for the EDR and any other departments
•   Dealing with post for the EDR and making priorities with respect to this
•   Preparing correspondence in English, Dutch and French

Qualification Required & Experience

•   Bachelor’s degree in Administration or Secretary ship
•   5 years minimum relevant experience
•   Experience in working in a Brand & Retail environment
•   Excellent interpersonal and communication skills
•   Excellent organizational skills
•   Native English and preferable French language skills
