The position:
• IITA is recruiting for a Station Administrator position for the IITA Ghana Country Office. S/he will work under the supervision of the IITA-Ghana Country Representative and Head of Administration, West Africa Hub. She will support the Country Representative to ensure that managerial, administrative and financial procedures comply with IITA policies. 'and that all project staff are effectively advised and supported to understand and apply these policies in their daily work.
Main Duties:
Work with research teams and to;
• Manage the day-to-day operational and administrative activities of the Station.
• Facilitate national staff hiring. contract preparation and administration. staff evaluation and remuneration review in liaison with the Country Representative and the IITA Head of Administration, West Africa Hub
• Supervise administrative 'staff and drivers based in Accra, Tamale and other regional offices.
• Advise project managers and scientists on relevant IITA administrative and management policies and procedures.
• Advice all IITA staff on national legal issues in consultation with the IITA Head of Administration.West Africa.
• Liaise with the Head of Administration West Africa and IITA-Ibadan Head Office on all administrative and financial issues and ensure the smooth implementation of policy directives issued.
• Ensure smooth administration of IITA-Ghana including human resources management and logistics.
• Ensure maintenance of project vehicles, office and field equipment.
• Facilitate organisation of project meetings and workshops.
• Facilitate field visits by project managers, donors, national and international partners and visitors.
• Ensure an up-to-date assets register.
• Prepare and submit monthly supply chain reports to IITA Headquarters in liaison with the Country Representative.
• lead procurement in coordination with IITA Supply Chain at the Headquarters.
• Perform other official duties assigned by the IITA Country Representative or the Head Administration West Africa
• Prepare monthly administrative reports for the Head Administration West Africa
• Prepare monthly HR reports for submission- to Human Resources office at HQ.
Duty Travel requirement: The position involves some travel to project sites within the country as well as the Accra station .
Terms of appointment: This is Nationally Recruited Staff (NRS) position based at IITA-Ghana's Tamale Office. Initial appointment is fixed term for two years with the possibility of renewal. contingent upon individual performance and the availability of funding.
Qualification Required & Experience
• A minimum of a bachelor's (B.A. or BSc.) degree in Management, Business Administration or related field from a recognised university.
• A minimum of 7 years post-graduation working experience.
• A minimum of three years in management position providing administrative over-sight and management systems development and implementation.
• Strong analytical and problem-solving skills, accuracy and attention to details.
• Experience working on agricultural projects funded by donors.
• Ability to use Microsoft Office Word, Excel and other relevant computer applications.
• Ability to work with minimal supervision.
• Good office and human resources management skills.
• Good understanding of budgeting and financial management procedures.
• Excellent computer skills with good grasp of spread-sheets.word processing and other MS office applications. and ability to learn new applications quickly.
• Excellent English reporting, writing and oral communication skills.
• Strong ability to co-ordinate. prioritise and organise workload; take initiative and work under pressure.
• Good team spirit and also participate as a team member in accomplishment of duties.
